Detailed information about the file

Click on a linked file name to see detailed information about a file.

The group administrator can download, edit, delete, and commit a version of the file. They can also manage labels, versions, and unlock files that are locked by other group members.

Group members can create and modify labels and manage versions of the file. It is also possible to lock the file and view the versions that exist.

You can download the file here.

Edit file

Here you can edit the existing file if it is in Word format. It will then open in Word and you can make any changes you want and save it. If you then refresh the page, a new version of the file will have been uploaded.

If you edit a file of the xls type, for example, the file will only be saved on your computer and you can edit the file there. You will then need to upload it again to get another version of the file.

Labels

This shows the label that the file has. Here you can only change or delete the label.

Versions

All versions of this file are displayed under Versions. In this case, there were two versions of the file.

Active

The most recently uploaded version is marked as Active.

You can download the file here.

Approved version

The group administrator selects which version of a file is approved. The approved version is the version that is downloaded when visitors who are not group members download the document. To be able to set a version, you need the ‘Approved version’ permission, which is included in the ‘Group administrator’ role.

The approved version is marked with a green background tile in the version list.

If an active or approved version is deleted, the latest version shall become active.

Add/Change description

Here, everyone in the group can write a comment. If there is a comment, it will be displayed under the version name in the Versions tab.

Delete version

Here you can delete a version.
